1. About this policy

Hipe Media (“we”, “us”, “our”) is a content and social media agency working with businesses across Australia. We respect your privacy and handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (“APPs”).

This policy explains what personal information we collect, why we collect it, who we share it with, and how you can access, correct or complain about our handling of it.

It applies to information collected through:

  • enquiry and lead forms we run on Facebook and Instagram (Meta lead ads)
  • forms and pages on hipemedia.com.au
  • email, phone and messaging contact with us
  • our work delivering services to clients

2. What we collect

From enquiry and lead forms

When you complete one of our enquiry forms — whether on our website or through a Meta lead ad — we collect:

Contact details

  • your name and your role in the business
  • business or trading name
  • email address and phone number
  • website or social media handle
  • location and service area

Business information

  • industry or trade
  • years in business
  • number of employees
  • approximate annual turnover
  • approximate monthly marketing budget

Marketing and requirements

  • what marketing you currently run and who handles it
  • what services you are interested in
  • how often you want content produced
  • your goals and the challenges you are facing
  • whether you can approve spend, and your timeframe
  • how you heard about us
  • anything else you choose to tell us

Some of these fields are optional. You do not have to answer every question, though incomplete answers may mean we cannot give you an accurate quote.

From our website

We may collect technical information automatically, including your IP address, browser type, device, pages visited and referring site. We use this to understand how the site is used and improve it.

When you become a client

If you engage us, we may also collect billing details, business registration information, access credentials you choose to share for social media accounts we manage on your behalf, and content produced during our work together — including photographs and video that may feature you, your staff or your premises.

Photography and video

Where we film or photograph at a workplace, we tell people on site what the footage is for. If you appear in content and do not want to, tell us or the site contact and we will exclude you, or remove the footage where it has already been captured.

3. Meta lead ads, tracking and advertising

Lead forms inside Facebook and Instagram

Some of our enquiry forms run inside Facebook and Instagram rather than on our website. These are known as Meta lead ads.

When you submit one of these forms:

  • Meta Platforms, Inc. collects the answers you enter and makes them available to us
  • Meta may pre-fill some fields — such as your name, email address and phone number — from your Facebook or Instagram profile. You can edit any pre-filled field before submitting
  • we retrieve your submission from Meta and store it in our own systems, where this policy applies to it
  • Meta also retains a copy on its own systems, governed by Meta’s privacy policy rather than ours

Meta’s handling of your information is set out at facebook.com/privacy/policy. We have no control over how long Meta keeps your submission or what it does with it. If you want your data removed from Meta, you need to deal with Meta directly.

The Meta Pixel and conversions tracking

Our website carries the Meta Pixel — a small piece of code that reports back to Meta when you visit our site or take an action such as submitting a form.

The Pixel may collect your IP address, browser and device information, the pages you visit on our site, and identifiers that allow Meta to match your visit to your Facebook or Instagram account if you have one. We use this to measure whether our ads are working and to show ads to people who have visited our site.

You can limit this through your Meta ad preferences, your off-Facebook activity settings, or by blocking third-party cookies in your browser.

Custom and lookalike audiences

We may create audiences in Meta’s advertising tools to reach people similar to our existing enquirers and clients. Where this involves uploading contact details, we only include people who have enquired with us or engaged us, and the data is hashed before it is sent. We do not sell or otherwise supply our contact lists to third parties for their own marketing.

If you do not want to be included, email us and we will exclude you.

4. Why we collect it

We collect and use personal information to:

  • respond to your enquiry and answer your questions
  • assess whether our services suit your business, and prepare a quote or proposal
  • deliver services if you engage us
  • issue invoices and manage payments
  • communicate with you about your project
  • send you marketing about our services, where you have not opted out
  • improve our website, services and advertising
  • meet our legal, tax and record-keeping obligations

We will not use your information for an unrelated purpose unless you would reasonably expect it, or you have consented.

5. Who we share it with

We do not sell personal information.

We use third-party software to run our business. Where these providers store or process your information, they do so on our instructions and are not permitted to use it for their own purposes. The providers we currently use include:

  • Airtable — client and project database (United States)
  • Google Workspace — email, calendar, file storage and documents (United States)
  • Meta Platforms — lead forms, advertising and social publishing (United States)
  • Publer — social media scheduling and publishing (European Union)
  • Notion — content planning (United States)
  • Vercel — hosting for our client dashboard (United States)
  • Xero — accounting and invoicing (New Zealand and Australia)
  • Twilio — messaging (United States)
  • AssemblyAI — transcription of video content (United States)
  • Anthropic — AI assistance with drafting content (United States)

We review this list from time to time and it may change. We may also disclose information where we are required or authorised to by law, or where necessary to investigate suspected unlawful activity.

If we sell or restructure the business, information may be transferred as part of that transaction. We would tell you before your information became subject to a different privacy policy.

Overseas disclosure

As the list above shows, several of our providers store or process information outside Australia — principally in the United States and the European Union.

Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles. However, overseas recipients are subject to the laws of their own country, which may differ from Australian privacy law, and you may not be able to seek redress under the Privacy Act for something an overseas recipient does.

By submitting an enquiry, you consent to your information being disclosed to overseas recipients on this basis.

6. Direct marketing

If you enquire with us, we may contact you about our services by email, phone or message.

Every marketing email includes an unsubscribe link. You can also opt out at any time by emailing info@hipemedia.com.au with “unsubscribe” in the subject line, and we will action it promptly.

Opting out of marketing does not stop us contacting you about work we are actively doing for you.

7. Keeping information secure

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These include access controls on our systems, multi-factor authentication where available, and limiting access to those who need it.

No system is completely secure. If we become aware of a data breach likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

We keep personal information only as long as we need it for the purposes above, or as required by law. Enquiries that do not proceed are ordinarily deleted or de-identified within two years.

8. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, and ask us to correct it if it is wrong, out of date or incomplete.

Email info@hipemedia.com.au. We will respond within 30 days. We do not charge for access requests, though we may charge a reasonable fee where a request requires substantial work. If we refuse a request, we will tell you why in writing.

You can also ask us to delete information we hold about you. We will do so unless we are required to keep it — for example, financial records we must retain for tax purposes.

9. Cookies and tracking

Our website uses cookies — small files stored on your device — and similar technologies such as tracking pixels. We use them for four purposes:

  • Essential. Needed for the site to work: page delivery, security, and remembering that you have dismissed a notice. The site will not function properly without these.
  • Functionality. Remembering choices you have made, so you do not have to re-enter them.
  • Analytics. Understanding how the site is used — which pages are visited, how long people stay, where they arrived from. We use Google Analytics for this. Google’s practices are described at policies.google.com/privacy, and you can opt out using the Google Analytics opt-out browser add-on.
  • Advertising. Measuring whether our ads work and showing ads to people who have visited our site. This includes the Meta Pixel described in section 3, and Google’s advertising and remarketing tools.

Cookies may be session cookies, deleted when you close your browser, or persistent cookies, which remain until they expire or you delete them.

Managing cookies

Most browsers let you see what cookies are stored, delete them, and refuse new ones. Instructions are in your browser’s help or settings. You can also opt out of interest-based advertising through youronlinechoices.com.au.

Blocking essential cookies will stop parts of the site working. Blocking analytics and advertising cookies will not.

10. Complaints

If you think we have mishandled your personal information or breached the Australian Privacy Principles, tell us first.

Email info@hipemedia.com.au with details of your concern. We will acknowledge your complaint within 5 business days and aim to resolve it within 30 days.

We may update this policy from time to time. The current version is always available on this page, with the date it was last updated shown at the top.
